What a HubSpot VA does
HubSpot is only as good as the person keeping it clean and working. A dedicated HubSpot VA maintains your CRM, builds workflows and sequences, manages deal pipelines and reports on what's working — so the platform actually earns its subscription.
Every SSIO HubSpot VA is recruited, employed and managed by us — reference-checked on HubSpot, working your hours, backed by our zero-risk promise: no placement fee, money-back first week, free replacement.
What your HubSpot VA handles
- CRM hygiene — contacts, companies, deduped.
- Deal pipelines — stages current and accurate.
- Workflows & automation — built and maintained.
- Email sequences — set up and optimised.
- Lists & segmentation — targeted.
- Dashboards — reporting leaders trust.

Questions
Frequently asked
Are they HubSpot-certified?
Many hold HubSpot certifications; we reference-check on your hubs (Marketing, Sales, Service) before you interview.
Do they actually know HubSpot?
Yes — we reference-check on HubSpot specifically and match VAs with real hands-on HubSpot experience before you interview.
How much does a HubSpot VA cost?
From $14/hr + GST for a full-time, dedicated team member — roughly $29K a year against $95K–$115K all-in for the local equivalent once you add super, leave, payroll tax, software and a desk. No placement fee, no setup fee, no recruitment retainer: you pay from the day they start, for hours worked, and interviewing candidates costs nothing. Specialist roles sit a little higher. Can they work in our account securely?
They work only in the access you grant, on your account, bound by confidentiality — you control permissions and can widen access as trust builds.
Is there a minimum term?
Three months, then month to month. It's the same runway you'd give a new local hire to learn your systems, your clients and your standards — and the team members who get a fair run are the ones who stay for years. There are no exit penalties at any point, and if the issue is the person rather than the role, the first-week refund and free replacement cover that separately.
How do you handle confidentiality?
The same way you'd treat any remote team member. Every placement signs an NDA and a confidentiality clause before day one, and they work inside your systems — your email, your CRM, your file storage — so you control what they can see and can revoke access instantly. No client data is stored on our side.
How do you verify they really know HubSpot?
Two ways. Their HubSpot experience is named and reference-checked with the employer they used it at — we ask what they actually did in it, not whether they've heard of it — and you interview them yourself before deciding, so you can ask your own questions about your own workflow. What we don't do is claim a certification nobody's checked. If your setup is unusual, tell us on the discovery call and we'll screen for that specifically.
Do they work in our HubSpot account or their own?
Yours. You create the user, set the permission level, and they work inside your instance the same as any employee — so your data, history and audit trail stay in one place, and access ends the moment you revoke it. Most clients start them on limited permissions and widen as trust builds. If HubSpot charges per seat, that seat is yours and it isn't included in the hourly rate.
