HubSpot tasks you can
hand to a VA
A CRM is only worth what the data in it is worth, and almost nobody has a person whose job that is. Here is the HubSpot work that travels, in the order that makes the pipeline trustworthy fastest.
Every HubSpot implementation follows the same arc. Enthusiastic setup, three months of good behaviour, then gradual decay — stages that no longer mean anything, deals with no next step, duplicate contacts, and a forecast leadership quietly ignores.
It decays because CRM hygiene is nobody's actual job. Salespeople update it after the fact, if at all, because their incentive is the conversation not the record.
A dedicated administrator makes it somebody's job. The work is unglamorous, entirely delegable, and it is the difference between a CRM that runs the business and an expensive contact list.
Who this is for
✓Worth your time if
- Your pipeline report is wrong often enough that people work around it
- Contacts are duplicated and properties are half-filled
- Sequences were set up once and never revisited
- Nobody chases deals that have gone quiet
✕Probably not if
- You need someone to sell — that is a different role
- Your sales process has never been defined
- You want strategy on lifecycle stages and attribution modelling
- You have fewer than a handful of open deals
What a HubSpot VA actually does
Ordered by how quickly the pipeline becomes trustworthy. The first two produce a usable report in a fortnight.
Every open deal with an accurate stage, amount, close date and next step — chased from the owner weekly rather than corrected at quarter-end.
Duplicates merged, properties standardised, dead records archived, and formats normalised so filters and lists actually work.
Meetings, calls and emails associated to the right record so the history is real rather than remembered.
Deals with no activity past a threshold surfaced weekly and chased — where most pipeline dies silently.
Outreach sequences built and maintained, templates kept current, enrolment errors caught.
Lifecycle automation, internal notifications, lead rotation and task creation built and tested.
Active lists kept accurate on real criteria, with suppression rules current.
Pipeline, conversion by stage, source attribution and activity — built once, produced reliably.
Forms built and tested end to end, pages assembled from your brief, and submissions verified.
What stays with your team
Data, chasing and build travel. Selling, forecasting judgement and process design do not.
- SellingThey can do administrative outreach and chasing. Sales conversations are your team's.
- Forecast judgementThey report what the data says. Whether to believe it is a leadership call.
- Process and pipeline designThey enforce your process; changing stages or definitions is your decision.
- Pricing and termsNever quoted or committed.
- Portal-level settingsIntegrations, billing and super-admin permissions stay with you.
The order to hand it over
Open pipeline first. A full database clean produces nothing visible for a month and usually stalls.
Open deals only, first
Resist starting with the whole database. Getting every open deal accurate produces a report leadership can use inside two weeks, which buys everything else.
Weekly chase rhythm
Establish the cadence: stalled deals surfaced, owners chased, a short report to leadership. The report being the agenda of a weekly meeting is what makes the chasing work.
Data cleaning, by segment
Now clean historically, one segment at a time, with a defined standard for each property.
Sequences and templates
Once the data is reliable, enrolment is safe. Before that, sequences send to bad records.
Workflows and reporting
Last, because automation built on unreliable data amplifies the unreliability.
Super admin because permissions were confusing
HubSpot's permission model is genuinely fiddly, so the path of least resistance is super admin. That grants integration control, billing visibility and the ability to change pipeline definitions and delete records at scale. Spend the twenty minutes: grant CRM access with edit rights, marketing tools if they build, reporting access, and withhold super admin, billing and integration management. Then check the audit log in the first fortnight — not out of suspicion, but because it is the fastest way to see how they work.
