A fund is genuinely technical in a handful of places — contribution caps, pension calculations, in-house asset rules, anything unusual in the deed. Everywhere else it is data: broker statements, dividend reinvestments, property expenses, bank feeds, rollovers, all of which must be captured accurately and reconciled before anyone can think.

Practices tend to have one or two people who know SMSF well, and those people spend most of their time on the data rather than the technical calls. That is an expensive way to process a broker statement.

An administration assistant takes the volume: processing, reconciliation, workpaper assembly and audit prep. The technical positions stay where they belong.

Which SMSF platforms can they work in?
Whichever you already run — the market is concentrated enough that we can match on it. Tell us the platform on the call and we will tell you honestly whether we have people with real experience in it or whether they would need a few weeks to get fluent.
Is fund data safe offshore?
They work inside your platform as a named user, so the data never leaves your systems and every action is attributed. Access is revoked instantly if needed. Treat it exactly as you would a remote employee in another Australian city — the controls are the same ones.
Can they handle a fund with unusual assets?
Processing, yes — collectables, unlisted holdings and property all get captured the same way. What they will not do is form a view on whether an asset satisfies the in-house asset rules or the sole purpose test. That gets flagged.

Full-time, part-time or fewer hours?
Forty hours a week is our standard engagement and twenty is common. Below that we look at fifteen, ten or even five hours to get a role started, priced accordingly — a smaller engagement costs a little more per hour because the recruiting and management effort is the same. Plenty of clients begin at ten hours and grow the role once they see what comes off their desk.
Is there a minimum term?
Three months, then month to month. It's the same runway you'd give a new local hire to learn your systems, your clients and your standards — and the team members who get a fair run are the ones who stay for years. There are no exit penalties at any point, and if the issue is the person rather than the role, the first-week refund and free replacement cover that separately.
How do you handle confidentiality?
The same way you'd treat any remote team member.
