Student support
coordinator

Progress tracked, at-risk students contacted early, assessment submissions chased and completions administered — because completion rates are a follow-up problem far more often than a teaching problem.

Students do not fail suddenly

A student who does not complete almost always shows signs weeks earlier: a missed submission, no LMS activity, an unanswered email. The pattern is visible in the data and nobody is watching it.

They are not watching because trainers are delivering and administrators are enrolling the next intake. Non-completion is discovered at the end, when it is a statistic rather than a problem you could have solved.

A dedicated support coordinator watches the data weekly and makes contact early. It is the single most direct intervention on completion rates, and it is entirely administrative.

What they run

  • Progress monitoring — LMS activity and submission progress reviewed weekly against expected milestones, with at-risk students identified early.
  • At-risk contact — Students contacted to your scripts when they fall behind — before disengagement becomes withdrawal.
  • Assessment chasing — Outstanding submissions chased on a schedule, with extensions administered per your policy.
  • Trainer feedback loop — Trainers told which students need attention and why, so their time goes where it matters.
  • Completion administration — Completions verified against evidence and certificates prepared for your authorised issuer.
  • Student enquiry handling — Administrative questions answered — access, timetables, fees, process — so trainers are not fielding them.
  • Withdrawal and deferral admin — Withdrawals, deferrals and re-enrolments processed and recorded correctly.
  • Completion reporting — Progression, completion and at-risk numbers reported weekly rather than annually.

What stays with your trainers

Follow-up and administration travel. Anything academic or assessment-related does not.

  • Academic supportExplaining course content or helping with an assessment is a trainer's role.
  • Assessment outcomesResults are recorded and communicated as decided by the assessor, never interpreted or negotiated.
  • Extensions beyond policyApplied within your written policy; anything outside it is escalated.
  • Certificate issuancePrepared administratively; issued by your authorised person against verified evidence.

Questions

Frequently asked

Does early contact actually improve completions?
It is the intervention with the clearest effect, because most non-completion starts as quiet disengagement rather than a decision. Measure your current completion rate before you start so you can see the change rather than assume it.
What do they say to an at-risk student?
From your scripts — a check-in, a clear next step, and an offer to connect them with their trainer. What they do not do is discuss course content or assessment, which is where the boundary sits.
Can they handle student complaints?
They log and track them administratively and route them to your process. The response to a complaint is your provider's responsibility and should follow your own complaints procedure.
How much does it cost?
From $14/hr + GST full-time — up to 70% less than a local hire, with no placement fee. Run your numbers →
Full-time, part-time or fewer hours?
Forty hours a week is our standard engagement and twenty is common. Below that we look at fifteen, ten or even five hours to get a role started, priced accordingly — a smaller engagement costs a little more per hour because the recruiting and management effort is the same. Plenty of clients begin at ten hours and grow the role once they see what comes off their desk.
Is there a minimum term?
Three months, then month to month. It's the same runway you'd give a new local hire to learn your systems, your clients and your standards — and the team members who get a fair run are the ones who stay for years. There are no exit penalties at any point, and if the issue is the person rather than the role, the first-week refund and free replacement cover that separately.
How do you handle confidentiality?
The same way you'd treat any remote team member. Every placement signs an NDA and a confidentiality clause before day one, and they work inside your systems — your email, your CRM, your file storage — so you control what they can see and can revoke access instantly. No client data is stored on our side.
