Ongoing service is charged monthly and delivered when there is time

A practice charging ongoing fees has committed to ongoing service. Reviews are the delivery of that commitment, and they are also the thing that slips when the practice is busy writing new advice.

That is both a client outcome problem and a compliance one — ongoing fee arrangements require the service to be delivered and evidenced, not intended.

A dedicated review coordinator runs it as a rolling programme: clients booked ahead, packs prepared before the meeting, and the evidence filed afterwards.

What they run

  • Review calendar — A rolling schedule of every client's review date, worked ahead so bookings happen early rather than at the anniversary.
  • Client booking — Clients contacted and booked into your adviser's diary, with reschedules chased rather than dropped.
  • Review pack preparation — Current positions, performance, contributions, insurance status and changes since last review assembled before the meeting.
  • Provider information — Updated statements and policy information requested and chased ahead of the meeting.
  • Agenda preparation — A draft agenda based on what has changed and what was flagged last time.
  • Post-meeting administration — Actions recorded, implementation tasks created, and the record of advice or file note prepared for your adviser.
  • Service evidence — Evidence of the ongoing service delivered, filed against the client — what a licensee or auditor will ask for.
  • Review reporting — Which reviews are booked, overdue or unbooked, weekly, so the gap is visible before it becomes a finding.

The advice line

Preparation, booking and evidence travel. The review conversation itself is regulated advice.

  • The review meetingConducting a review is providing advice and requires your authorised adviser.
  • Portfolio commentaryNo commentary on performance or markets to a client, however casual.
  • Recommendations arisingAnything arising from a review is the adviser's recommendation to make.
  • Fee discussionsOngoing fee conversations and consent renewals stay with the adviser.

Questions

Frequently asked

Can they call clients to book reviews?
Yes, and this is the highest-value part of the role. Give them a script that books a meeting and never touches product, performance or markets, and the compliance line is straightforward.
Where should they start?
With overdue reviews, not the calendar. It is finite, it addresses your largest compliance exposure first, and it produces client meetings within a fortnight.
Does this help with ongoing fee compliance?
It helps with the evidence and the delivery, which is usually where practices are exposed — service intended but not documented. The obligations themselves remain your licensee's and yours; this makes them demonstrable.
How much does it cost?
From $14/hr + GST full-time — up to 70% less than a local hire, with no placement fee. Run your numbers →
Full-time, part-time or fewer hours?
Forty hours a week is our standard engagement and twenty is common. Below that we look at fifteen, ten or even five hours to get a role started, priced accordingly — a smaller engagement costs a little more per hour because the recruiting and management effort is the same. Plenty of clients begin at ten hours and grow the role once they see what comes off their desk.
Is there a minimum term?
Three months, then month to month. It's the same runway you'd give a new local hire to learn your systems, your clients and your standards — and the team members who get a fair run are the ones who stay for years. There are no exit penalties at any point, and if the issue is the person rather than the role, the first-week refund and free replacement cover that separately.
How do you handle confidentiality?
The same way you'd treat any remote team member. Every placement signs an NDA and a confidentiality clause before day one, and they work inside your systems — your email, your CRM, your file storage — so you control what they can see and can revoke access instantly. No client data is stored on our side.
