Conveyancing is a deadline machine

A conveyance is a sequence of dates that cannot slip: finance, building and pest, cooling off, settlement. Each one requires documents from someone who is not paying attention, and each one has consequences if missed.

The work is high-volume, procedural and unforgiving — which means it consumes an enormous amount of a conveyancer's day in chasing and preparation rather than judgement.

A dedicated assistant owns the chase and the preparation. The conveyancer keeps the advice, the settlement itself and every judgement call.

What they run

  • Search ordering and tracking — Title, planning, rates, water and statutory searches ordered on file opening and tracked to receipt.
  • Condition diarising — Every contract date entered with escalating reminders, so finance and inspection dates surface before they expire.
  • Document chasing — Agents, brokers, banks and the other side chased persistently for what your conveyancer is waiting on.
  • Settlement statement preparation — Adjustments calculated from rates and water notices, statements prepared for your review.
  • Settlement booking admin — Coordinating time and parties, preparing the settlement workspace and checklist ready for your conveyancer.
  • File opening and closing — New matters set up with checklists applied, and completed files closed out properly with reporting to the client.
  • Client updates — Scheduled progress updates so clients stop calling to ask where things are.

What stays with your conveyancer

Preparation and chasing travel. Advice, settlement authorisation and trust money do not.

  • Legal adviceNothing about the effect of a contract term, a special condition or a risk. Escalated always.
  • Settlement authorisationEffecting settlement and authorising the transfer of funds stays with your licensed conveyancer or solicitor.
  • Trust accountNo offshore team member touches trust accounting or holds authority over trust funds.
  • Advising on searchesFlagging a search result is fine. Interpreting what it means for the client is not.

Questions

Frequently asked

Can they work in PEXA?
Access and role permissions in electronic settlement platforms are governed by the platform's own subscriber rules, so what is practical depends on your subscription and your internal policy — worth mapping precisely on the call. What they always do is the preparation around it: searches, adjustments, checklists and chasing.
Do they know Australian conveyancing?
We screen for it, and state variation is real — Queensland, NSW and Victoria differ enough that experience in one is not experience in all. We will tell you what someone actually knows before you interview.
What if a critical date is missed?
Build the safety net into the system rather than the person: escalating reminders, a weekly review of upcoming dates with your conveyancer, and no reliance on memory. That protects you regardless of who holds the role.
How much does it cost?
From $14/hr + GST full-time — up to 70% less than a local hire, with no placement fee. Run your numbers →
Full-time, part-time or fewer hours?
Forty hours a week is our standard engagement and twenty is common. Below that we look at fifteen, ten or even five hours to get a role started, priced accordingly — a smaller engagement costs a little more per hour because the recruiting and management effort is the same. Plenty of clients begin at ten hours and grow the role once they see what comes off their desk.
Is there a minimum term?
Three months, then month to month. It's the same runway you'd give a new local hire to learn your systems, your clients and your standards — and the team members who get a fair run are the ones who stay for years. There are no exit penalties at any point, and if the issue is the person rather than the role, the first-week refund and free replacement cover that separately.
How do you handle confidentiality?
The same way you'd treat any remote team member. Every placement signs an NDA and a confidentiality clause before day one, and they work inside your systems — your email, your CRM, your file storage — so you control what they can see and can revoke access instantly. No client data is stored on our side.
