Bids are lost on compliance, not capability

Tender responses fail for administrative reasons far more often than for lack of capability. A schedule not addressed, a word limit exceeded, a form not signed, a submission lodged four minutes late.

The reason is that bid assembly always lands on the people least suited to it — senior consultants who should be writing the technical response, doing version control at midnight instead.

A dedicated coordinator owns the machinery: the compliance matrix, the content library, the chasing, the formatting and the lodgement. Your experts write; they assemble.

What they coordinate

  • Compliance schedules — Every requirement extracted into a matrix and tracked to a response, so nothing is unaddressed at lodgement.
  • Content library — Your reusable content — capability statements, CVs, case studies, policies — maintained current and tagged so it is findable.
  • Contribution chasing — Following up the people who owe sections, against a schedule that works backwards from the deadline.
  • Formatting and assembly — Documents formatted to the client's template and limits, consistent throughout, with version control that holds.
  • Addenda tracking — Clarifications and addenda monitored and folded into the response rather than missed.
  • Lodgement — Submitted through the portal with time to spare, and evidence of lodgement filed.
  • Bid register and outcomes — What was bid, what was won, what feedback said — so the library improves rather than repeating.

What stays with you

Assembly and coordination travel. Strategy, technical content and anything you sign do not.

  • Bid strategy and pricingWhether to bid, and at what price, is a commercial decision.
  • Technical contentWritten by your subject matter experts. A coordinator assembles and edits for consistency.
  • Signing and warrantiesDeclarations and warranties are signed by your authorised person.
  • Client clarification questionsDrafted for your review; asked in your name with your approval.

Questions

Frequently asked

Can they write technical responses?
They can edit, tighten and adapt library content to the question, which covers a surprising amount of a submission. Genuinely new technical content should come from the expert who will deliver the work — a coordinator makes that person efficient rather than replacing them.
How far ahead do they need to start?
Working backwards from the deadline with a chase schedule is the whole discipline. Give them the tender the day it lands rather than the week it is due, and the difference in submission quality is dramatic.
What if we bid infrequently?
Then combine the role. A proposal coordinator who also does CRM hygiene, marketing production or EA work between bids is a much better use of a full-time person — and they are far more useful on the bid because they know the business.
How much does it cost?
From $14/hr + GST full-time — up to 70% less than a local hire, with no placement fee. Run your numbers →
Full-time, part-time or fewer hours?
Forty hours a week is our standard engagement and twenty is common. Below that we look at fifteen, ten or even five hours to get a role started, priced accordingly — a smaller engagement costs a little more per hour because the recruiting and management effort is the same. Plenty of clients begin at ten hours and grow the role once they see what comes off their desk.
Is there a minimum term?
Three months, then month to month. It's the same runway you'd give a new local hire to learn your systems, your clients and your standards — and the team members who get a fair run are the ones who stay for years. There are no exit penalties at any point, and if the issue is the person rather than the role, the first-week refund and free replacement cover that separately.
How do you handle confidentiality?
The same way you'd treat any remote team member. Every placement signs an NDA and a confidentiality clause before day one, and they work inside your systems — your email, your CRM, your file storage — so you control what they can see and can revoke access instantly. No client data is stored on our side.
